AI Tools (Article)

Document Management offers some basic AI tools to assist with writing and refining your documents. Whether you want to speed up the editing process or aren’t sure of the best way to phrase something, there are a few options. To access these tools, select the text you wish to work with and click the drop-down in the upper right corner, AI (Beta):

The first section assists with Content Refinement and contains the following options:

  • Rephrase
  • Shorten
  • Simplify
  • Summarize

The second section assists with Tone Adjustment and contains the following options:

  • Academic
  • Business
  • Confident
  • Conversational
  • Formal
  • Objective
  • Persuasive

Once an option is chosen, the AI tools will go to work. A box will pop up with the suggested text:

If the text isn’t quite what you need but is close, you can Regenerate. This will give you a slightly different output every time. You can also Reject or Accept. If you Reject, the AI window will close out and your original document will be displayed. If you Accept, the new text will replace the old text in the document.

Note: AI can be a powerful tool to enhance your document creation. To make the most of the tools available, consider the length of the passage you’re using the tool for. As a best practice, use 10 - 1,000 words per request. This range strikes a good balance between allowing the AI to analyze relevant context while providing meaningful refinements. If your input is too short, the AI may not have many meaningful suggestions. If your input is too long, it may be hard for you to reconcile the differences between your original text and the AI’s suggestions.
