Managing Category Codes (Article)

From the Home screen, click Admin from the left-hand navigation menu:

Click Categories:

Click Add New:

Create the ID (number) and Name fields (required), as well as a Description (optional). Google search can help if you don’t know what to use: 

Once you have finished, click Submit. Repeat if adding more than one:  

And Save:

To deactivate Category Codes click the code you wish to deactivate, then click Deactivate. Note:  If you deactivate a code, it will disappear from your profile. If you reactivate it, it will reappear; nothing further needs to be done:

Click Submit:

Click Save:

To reactivate the category code, search for or select the deactivated category from the list. Ensure that you have the Display Deactivated Categories check box selected:

Click Activate:

Then Submit:

Click Save:

Sometimes, you may want to see what other organizations use for their Category Codes. To do this, go to Vendor Management from the left-hand navigation panel:

Check off Collaborative and Click Category (you can choose to exclude your own existing category codes from the search):

This will bring up a global list of category codes, and you can use Search to locate specific codes:

Note: 5-digit category codes may be NIGP codes, which require a license from NIGP Solutions for Government Sourcing and Procurement.

Six-digit codes are NAICS and 8-digit codes are UNSPEC. There may be other free codes in use as well.

Once you have located the codes you wish to use, you can add them to your list using the process outlined above.  

To notify vendors of new codes, you have a few options. You can inform all of your vendors of new codes by clicking on Vendor Management and choosing the Email option in the upper right corner:

Select all vendors or select the individual vendors you wish to notify:

Fill out the Subject and Message, and click Send:

You can also notify vendors that are using related category codes. To do this, click Category:

Choose the related categories and click Save:

Then click Search:

Select the email icon in the upper-right corner, and then repeat the steps outlined above to select all vendors and send an email.

To notify external vendors of the new category code, click Category:

Click or search to select the newly added code, and click Save:

Select Collaborative and Exclude Own, and click Search:

 Click the Email icon in the upper right corner: 

Follow the steps outlined above to send an email to the selected vendors.

Note: A maximum of 5,000 email notifications is available. To narrow down your selections and refine your search (ex: by county), you can click the plus sign to add additional criteria:
