Reports for Awarded Projects (Article)

The PlanetBids system enables you to generate various reports to collect data from awarded projects. The following is a list of reports you may want to use: 

 

Home – Metrics (Click Edit in the upper right corner, use the dropdowns under Bids. Can be filtered by agency-wide, department, user): 

    • Awarded Amount: shows the amount awarded per classification based on the total amount awarded
    • Awarded: shows the number of projects awarded to each classification based on the total number of bids. 
    • Cost Savings: Analysis of cost savings for projects in Awarded and Award Pending statuses. Awarded amount is compared with the Target Bid Amount/Engineer's estimate when provided. The report also provides the lowest, mean, median, and highest bid per project and compares these values with the award amount. 

Solicitations Reports and Charts (from Solicitations, select the Reports icon in the upper right corner. Based on bids in search results): 

    • Solicitation Activity: A comprehensive report containing a list of projects with bid and buyer information, a breakdown of the template and project type used, the total number of notified vendors, prospective bidders, bidders, and awards, with a breakdown for each classification, and the total amount awarded. 
    • Solicitation Activity Summary: A report providing statistics on the total number and percentage of notified vendors, prospective bidders, bidders, awards, and award amount for each classification based on the total number of bids. 
    •  Awards: This report includes two charts that illustrate bid awards. Award Amounts show the amount awarded per classification based on the total amount awarded, while Number of Awards shows the number of projects awarded to each classification based on the total number of bids. 
    • Subcontractor Awards: Two charts illustrating awards made to subcontractors. Award Amounts charts the amount of subcontracts awarded per classification, based on the total amount awarded. The Number of Awards chart displays the number of projects awarded to subcontractors per classification, based on the total number of bids. 
    • Cost Savings: Analysis of cost savings for projects in Awarded and Award Pending stages. Award amount is compared with the Target Bid Amount/Engineer's Estimate when provided.     • Awards Summary Export: An export of Awarded projects listing vendors that bid for the project, their bid amount, the date the projects were awarded and the amount. 

Individual Solicitation Reports (from the Reports tab within the bid): 

    • Project Participation: This report provides a summary of the participation on the project and lists whether a vendor has been Notified/Invited, became a Prospective Bidder, downloaded files, bid for the project, award information and the classifications that apply to each vendor. 
    • Cost Savings: Chart illustrating the Submitted and Awarded bid amounts compared to the Target Bid Amount. 

Vendors (from Vendors, select the Reports icon in the upper right corner. Based on vendors in search results): 

    • Vendor Activity: A comprehensive report of registered vendors with their activitynd Classifications. Activity reported includes the number of solicitations each vendor has received; number of times they've become a prospective bidder, bidder, and an awardee (with amount awarded). 

Individual Vendor Profile (from the Reports tab within the individual vendor profile): 

    • Vendor statistics showing projects bid on, projects awarded, rankings, etc.  Also available in collaborative view.  

Contracts (from Contracts, select the Reports icon in the upper right corner): 

    • Business Utilization: Business Utilization Detail of Prime and Subcontractors by  contract. 

Individual Contract  Reports (from the Reports tab within an individual contract):

    • Subcontractor Compliance Payment Report: shows payments to subcontractors and acknowledgments for each month.
    • Detailed Subcontractor Compliance Payments: shows subcontractor's contact, payments, and acknowledgement details for a specific month. 
    • Subcontractor Compliance Monthly Update: shows projected and actual payments to a subcontractor for a specific month. 

Reports (above reports plus the below, select the Reports icon from the left side menu): 

    • Solicitations - Line Item Reports: The report provides pricing analysis for bids using line items listed in the Line Items Library. The analysis includes the highest, lowest, average bidder amounts and awarded for the line items. 
    • Solicitations - Bid Awards: This report has two charts illustrating awards. Award Amounts shows the amount awarded per classification, based on the total amount awarded while Number of Awards shows the number of projects awarded to each classification, based on the total number of bids. 
    • Solicitations - Subcontractor Awards: Two charts illustrating awards made to subcontractors. Award Amounts charts the amount subcontracts were awarded per classification, based on the total amount awarded while Number of Awards charts the number of projects awarded to subcontractors per each classification, based on the total number of bids.
