Think of our AI tools as your new teammate—one who loves reading bid documents and answering your questions fast. In this brief tutorial, I’ll demonstrate how to utilize the AI Chat feature in VendorLine and explain how it can save you time and effort on bids.
First, let’s set your AI up for success. Start by uploading your reference files. Just click your account name in the top right corner, then click AI Settings.
Here, you can upload up to 10 PDFs—things like winning proposals, completed projects, or strong capability statements. Crisp, text-based files work best. If needed, you can include a few handwritten notes but keep them to a minimum for the best results.
The better your reference material, the smarter your AI teammate becomes.
Uploading takes just a few minutes. Grab a coffee—we’ll be ready by the time you're back.
Once your documents are in, open a bid that you’re interested in from the PlanetBids Network. Scroll to the bottom and click AI Chat. You’ll be asked to confirm using 1 bid credit. One bid equals one credit, regardless of the number of questions asked or the level of detail in the bid. Once you confirm, the AI scans the bid against your experience and the documents you have uploaded. Shortly, you’ll see a custom analysis appear.
Want a quick gut check? Click View Stretch Analysis to see areas where the bid might be a stretch—and where you’re already strong. Have questions? Type them in plain English. This AI is familiar with public procurement, so there's no need to learn special commands or prompts.
You can ask things like:
- Translate the scope of work to Spanish, list the insurance requirements, or give me a checklist of what I need to submit
You can ask follow-ups too, until the bid closes. After that, you can still read your chat history, but new questions will be paused. Want to jump back to the original bid details? Just click Bid Info anytime.
Quick tips before you go:
Keep your reference library fresh, especially after new wins or expanding into new services. Use Strengths & Stretches first to save time. You don’t need to mark yourself as a prospective bidder—AI Chat works the moment you open the bid. And remember, the AI highlights facts—it won’t predict outcomes or suggest pricing.
That’s it! You’ve got an AI teammate who’s ready to help with bids anytime you are. Dive in and start exploring—VendorLine’s here to make procurement a whole lot easier.
